Before you publish this: this is a drafted starting point, not legal advice, and I'm not a lawyer. It's built from what DropIn actually does — video calls, recording, AI summaries, messaging, student verification via Campi — but recording-consent law, data-protection law (GDPR/CCPA and similar), and liability rules vary by where you and your users are located, and change over time. Have a qualified lawyer review this — and read it together with the companion Privacy Policy, which this document references but doesn't replace — before you rely on it. Anywhere you see bracketed text, that's a placeholder you need to fill in yourself.

These Terms & Conditions ("Terms") govern your access to and use of DropIn (the "Service"), operated by [your name / company name] ("DropIn", "we", "us"). By creating an account, joining a call, or otherwise using the Service, you agree to these Terms. If you don't agree, don't use the Service.

1. Who can use DropIn

You must be at least [13 / 16 — check the minimum age rule where your users are] years old to create an account. If you're using DropIn on behalf of a school, employer, or other organization, you're confirming you have the authority to agree to these Terms for that organization.

Some rooms can be joined as a guest, without an account. Guests are bound by these Terms for the duration of their participation, even without signing up.

2. Your account

  • You're responsible for keeping your password confidential and for all activity under your account. Tell us immediately if you suspect unauthorized access.
  • DropIn offers optional two-factor authentication (2FA) and backup recovery codes. You're responsible for storing your backup codes safely — if you lose both your authenticator app and your backup codes, we may not be able to restore access to your account.
  • You may sign in with Google, or connect a verified student account through Campi. You're responsible for whatever access you grant through those third parties.
  • We may suspend or terminate accounts that violate these Terms, without notice where we reasonably believe it's necessary (e.g. abuse, security risk, illegal activity).

3. What DropIn does

DropIn provides peer-to-peer video and voice calls, plus supporting features: text chat, screen sharing, a shared whiteboard, shared notes, polls and Q&A, an agenda tool, breakout rooms, live captions, meeting recording (local and cloud), AI-generated meeting summaries, direct messaging between accounts, scheduled meetings, contacts, and team groupings.

Call video and audio travel directly between participants' devices (peer-to-peer). Signaling, chat, and collaborative features are relayed through our backend to make that connection possible and to sync shared content.

4. Recording — your responsibility to get consent

This is important and often legally required: if you record a call (locally or to the cloud), you are responsible for making sure you have any consent required by law in your jurisdiction and the jurisdictions of everyone else on the call. Recording-consent rules differ significantly by location — some places require only one participant to consent (you), others require every participant to consent. DropIn displays a recording indicator to everyone in the call while a recording is active, but that does not substitute for whatever legal consent is actually required where you are. Do not record a call if you aren't sure you're allowed to.

Recordings you make are stored using a third-party media service (currently Cloudinary) under your account. You're responsible for what you do with a recording after it's made, including sharing it with others.

5. AI-generated summaries

DropIn can generate an AI summary, action items, and highlights from a call's live captions. This can run either through a fast on-device summarizer, your own connected AI API key, or a shared key we provide (subject to a daily usage limit per account). AI-generated summaries can be inaccurate, incomplete, or misleading — they are a convenience, not an official record of what was said, and you shouldn't rely on them for decisions where accuracy matters without checking against the actual conversation.

6. Messaging

Signed-in users can send direct text messages, photos, and videos to other signed-in users, either from the Messages tab or privately during a call. Only accounts you message, or who message you, can see a given conversation. Media you send is stored using a third-party media service (currently Cloudinary). Don't use messaging to send anything listed as prohibited in Section 7.

7. Acceptable use

You agree not to use DropIn to:

  • Harass, threaten, bully, or abuse any other person;
  • Upload, share, or transmit illegal content, or content that infringes someone else's intellectual property or privacy rights;
  • Impersonate any person or organization, or misrepresent your affiliation with one;
  • Attempt to gain unauthorized access to another user's account, another meeting you weren't invited to, or DropIn's systems;
  • Disrupt the Service (e.g. spam messages, abuse the AI summary quota, flood a meeting's chat or polls);
  • Record or distribute a call without the consent required by applicable law (see Section 4); or
  • Use DropIn in any way that violates applicable law.

We may remove content, suspend access, or terminate accounts that violate this section.

8. Your content

You retain ownership of what you create or share on DropIn — messages, recordings, notes, whiteboard drawings, poll responses, and so on ("Your Content"). By using the Service, you grant DropIn a limited license to store, transmit, and process Your Content solely as necessary to provide the Service to you and the people you're communicating with (for example, relaying a chat message, or storing a recording you chose to make).

We do not claim ownership over Your Content, and we don't use it to train AI models beyond what's needed to generate a summary you explicitly requested for your own call.

9. Third-party services

DropIn is built on several third-party services, each with their own terms and privacy practices:

  • Firebase (Google) — accounts, sign-in, the app database, and realtime call signaling;
  • Cloudinary — storage and delivery of cloud recordings and message attachments;
  • Anthropic — processes call transcripts when you request an AI-generated summary (via your own key or the shared key);
  • Campi — verifies student status for accounts that connect through it;
  • Public STUN/TURN relay infrastructure, used only to help establish direct peer-to-peer connections.

We choose these providers carefully, but we don't control them, and their availability or practices can change.

10. Disclaimers

The Service is provided "as is" and "as available," without warranties of any kind, express or implied. We don't guarantee the Service will be uninterrupted, secure, or error-free, that call quality will meet any particular standard (peer-to-peer calls depend on each participant's own network), or that AI summaries will be accurate.

11. Limitation of liability

To the fullest extent permitted by law, DropIn and [your name / company name] will not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including loss of data, recordings, or messages. [A lawyer should tailor this section — and confirm what liability caps, if any, are enforceable where you operate.]

12. Changes to these Terms

We may update these Terms from time to time. If we make material changes, we'll update the date at the top of this page. Continuing to use DropIn after a change means you accept the updated Terms.

13. Governing law
